We at Signed Off Wellness Inc. (the "Company," "Signed Off," "we," or "us") are committed to protecting the privacy of the people who access and use our website, app, and services ("Users" or "you").
This Privacy Policy (this "Policy") describes how and when the Company collects, uses, and shares your information when you use our website at signedoff.ca, the Signed Off booking and wellness app, and all related software, tools, systems, and other services provided by us (collectively, together with the website, our "Service").
By using our Service, you consent to the collection, use, and disclosure of personal information in accordance with this Policy. This Policy should be read in conjunction with our Terms of Service and any other policies available on the website.
Information We Collect & Store
"Personal Information," as used in this Policy, is information that specifically identifies an individual user of the Service, such as an individual's name, address, telephone number, or email address. Personal information also includes information about an individual's activities — such as activity on our Service — and demographic information, such as date of birth, gender, geographic area, and preferences, when any of this information is linked to information that identifies that individual.

How We Collect Your Information
Account Registration & Profiles
When you create a Signed Off account, book a session, or purchase a membership, we collect personal information you provide to us, which may include your name, contact information, date of birth, health disclosures, and payment details. We may indicate that some information is required to create your account or complete a booking, while other information is optional.
Newsletter & Marketing
We may offer email newsletters with announcements, offers, and information about Signed Off from time to time. If you sign up to receive a newsletter, we collect your email address. You may opt out of receiving marketing emails at any time by following the unsubscribe instructions in any email or by contacting us at info@signedoff.ca.
Third-Party Login (Integrated Services)
You may be given the option to register for the Service using credentials from a third-party service such as Google or Facebook (each an "Integrated Service"). By doing so, you authorize us to access and store your name, email address, profile picture, and other information that the Integrated Service makes available to us, in accordance with this Policy. You should review the privacy settings and policies of any Integrated Service before connecting it to your Signed Off account.
Correspondence
If you contact us by email, through a contact form, or by any other means, we collect the personal information contained within and associated with your correspondence. We use this information to respond to your inquiry and may use it to improve our Service.
Promotions & Contests
We or our business partners may conduct special contests, promotions, or offers from time to time. Certain promotions may be co-branded with a third-party partner. In these instances, the collection of your personal information may occur directly by the third-party partner and may be shared with us. Any such promotion will state the applicable privacy policy governing the collection of your information.
Health Information
As part of your use of our wellness services, we may collect health-related information you voluntarily provide, including through our waiver and intake forms. This information is used solely to ensure your safety and to provide appropriate services. No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. All other categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
How We Use Your Information
We use personal information to provide the services and information that you request, and for the following purposes:
• To process bookings, memberships, and payments;
• To enhance, improve, operate, analyze, and maintain our Service and systems;
• To prevent fraudulent use of our Service and other systems;
• To prevent or take action against activities that are, or may be, in violation of our Terms of Service or applicable law;

Analytics & Advertising
Signed Off uses third-party analytics and advertising tools to measure traffic and usage trends on our Service and to serve relevant advertisements on our behalf. These platforms help us better understand how our community discovers and engages with Signed Off, and which communications are most useful to our members. We do not sell your personal information to advertisers.
Third-Party Applications & Service Providers
Booking & Payment Platforms
To provide our Service, we use third-party platforms including our booking software and Stripe for payment processing. We cannot control how these third-party applications treat personal information you transmit through their servers when using our Service. We advise you to contact these parties directly to review their privacy policies. By using these platforms to interact with our Service, we will not be given access to your login credentials, password, or payment card numbers entered directly into those platforms.
Service Providers
We may disclose personal information to third-party service providers — such as payment processors, data storage vendors, and software providers — that assist us in operating our business. We limit the personal information provided to these service providers to that which is reasonably necessary for them to perform their functions, and we require them to agree to maintain the confidentiality of such personal information.
Security Cameras
We may use security cameras in common, non-private areas of our facility for safety and operational monitoring only. Footage is retained only as long as necessary for security purposes and is not shared with third parties except as required by law.
Public Areas & User Content
Some features of our Service may allow you to upload, post, or otherwise transmit content to public areas of the Service, such as a public profile or community space. Please be aware that any personal information you include within any user content will be made available to other users of the Service. You include personal information in user content at your sole risk. Even after information posted on the website is removed, caching and archiving services may have saved that information, and other users or third parties may have copied or stored it. We cannot warrant or guarantee that personal information you share publicly will not be accessed, viewed, or used by unauthorized persons.
Business Transfers
Information about our users, including personal information, may be disclosed and otherwise transferred to an acquirer, successor, or assignee as part of any merger, acquisition, debt financing, sale of company assets, or similar transaction, as well as in the event of an insolvency, bankruptcy, or receivership in which personal information is transferred to one or more third parties as one of our business assets. Data Deletion & Access Rights
You have the right to request access to the personal information we hold about you, to request correction of inaccurate information, and to request permanent deletion of your personal data from our systems. We will respond to your request within a reasonable time and in accordance with applicable privacy law, including the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable Ontario privacy legislation.
Please note that we may be required to retain certain information for legal, tax, or accounting purposes even after you request deletion.
Security
We use reasonable security measures designed to protect personal information from accidental loss, unauthorized access, disclosure, misuse, and destruction. Please be aware, however, that no data security measures can be guaranteed to be completely effective. Consequently, we cannot ensure or warrant the security of any information you provide to us. You transmit information to us at your own risk.
Always select a password that is unlikely to be guessed by others, and never disclose your password to any third party. You are responsible for all personal information submitted through your account and all actions taken through your account. If your password has been compromised for any reason, you should immediately change it and notify us at lisa@signedoff.ca.
Data Retention
We retain personal information for as long as necessary to fulfill the purposes for which it was collected, including to provide our Services, comply with legal obligations, resolve disputes, and enforce our agreements. When personal information is no longer required, we take reasonable steps to securely destroy or de-identify it.
Children's Privacy
Our Service is not directed to individuals under the age of 18. We do not knowingly collect personal information from minors. If you become aware that a minor has provided us with personal information without parental consent, please contact us at lisa@signedoff.ca and we will take steps to remove that information and terminate the associated account.
Amending This Policy
This Policy may be updated and amended from time to time. We reserve the right to change this Policy at any time, and any amended Policy is effective upon posting to the website. We will make efforts to communicate any changes we deem material, in our sole discretion, via email or notifications on the website. Your continued use of the website or Service will be deemed acceptance of any amended Policy.
